Ripple Merge Privacy Policy

The short version
Ripple Merge is a mail merge template app for monday.com, operated by Dan Negoescu. Your board data stays inside monday.com's infrastructure — the app has no tracking and no data stores of its own; the only external processing is the optional AI features described in section 4, which never receive your board item values unless you explicitly add the AI Summary placeholder to a template.
1. Data the app accesses

Item and subitem values are processed transiently in memory during an automation run and returned to your monday workflow. They are never stored by the app.
2. Data the app stores
- Your templates — the names, subject lines and bodies you write, including the placeholder references they contain.
- A monthly execution counter — a single number per account per month, used to show plan usage.
Both are stored via monday.com's Storage API, inside monday.com's own infrastructure, encrypted at rest by monday. The app's backend runs on monday-code (monday.com's app hosting platform). Nothing is stored on any server or database outside monday.com.
3. Permissions (scopes) and why
boards:read— read board structure and item/subitem values to build and resolve templates. This is the app's only scope: it never writes to your boards — resolved content is returned to your workflow through the automation step's output fields.
4. AI features (Ripple Merge AI)
The optional editor AI features (template generation, refinement, translation, subject suggestions, starter ideas, and column mapping) send the following to an AI model, only when you actively use them: your written description or instruction, the names and types of your board's columns, and the template text being worked on. These editor features never send board item values, subitem values, or email contents to any AI model.
One opt-in exception — the AI Summary placeholder. If you place
{ai.summary} in a template, then each time that template's automation runs,
the triggering item's column values and its subitem rows are sent to the AI model to
write a short summary for that email. This happens only for templates containing
that placeholder, the data is processed transiently and never stored, and
removing the placeholder stops it entirely. If the AI is unavailable the placeholder
resolves to empty and your email still sends.
Similarly, if you set a template's Send Language column, the value of that single column (e.g. "Spain") is sent at send time so the AI can translate the template's text into the recipient's language. Only the template text and that one value are sent — never other item values; translations are cached per template and language, and if the AI is unavailable the email sends in the template's original language.
AI requests are processed by OpenAI (GPT models) via OpenAI's API. Per OpenAI's API terms, business data sent through the API is not used to train models by default. AI features are inactive until you click an AI action, and the app works fully without them.
5. Third parties
Other than the AI processing described above, the app makes no requests to any domain outside monday.com services. Fonts and all assets are bundled with the app. There are no analytics, advertising, or tracking services of any kind.
6. Cookies and local storage
The app sets no cookies. It uses browser localStorage for
one UI preference (whether you have dismissed the welcome screen). This never leaves your
browser.
7. Logging
The backend keeps short-lived operational logs (request method and path, error diagnostics) on the monday-code platform for debugging and reliability. Logs do not include your template content or item data, and expire automatically per monday-code's log retention.
8. Data retention and deletion
When you uninstall Ripple Merge, monday.com notifies the app and all stored data for your account (templates and usage counters) is deleted automatically and permanently — immediately upon notification, and in all cases within 10 days, in line with monday.com's marketplace requirements.

9. Your rights
Depending on your jurisdiction (e.g. GDPR in the EU/EEA), you may have rights to access, correct, export, or erase your data. Since the only personal data the app holds is what you put in your templates, the fastest route for any request is the contact below.
10. Changes
If this policy changes materially, the "Last updated" date above will change and the new version will be published at this address before it takes effect.
